Advertising platforms see the signals the business sends them. If the only reliable signal is a submitted form, the campaign may be evaluated mainly on form volume. The CRM contains a different part of the story: whether an enquiry was suitable, whether a proposal followed and whether work was won.

Connecting those views starts with an operating process. Software cannot reliably automate a qualification decision that the team has not defined.

Agree the stages first

Use a small set of statuses that people can apply consistently. For example: new, contacted, qualified, proposal and won or lost. Add reason codes for unsuitable enquiries where they help campaign decisions. Avoid a stage list so detailed that sales stops maintaining it.

Specify who updates each stage and when. “Qualified” should describe an observable business condition, not a salesperson's vague impression. Review a sample of records together until the team applies the definitions consistently.

Preserve the connection to acquisition

Capture appropriate campaign context with the enquiry where the implementation and consent permit it. Keep identifiers, dates and source information consistent across the website and CRM. Do not assume every prospect can or should be matched to an advertising interaction.

Document what happens when tracking is unavailable, a person returns through another channel or records are merged. These cases are normal limitations to explain, not reasons to force every sale into a neat attribution row.

Start with a manual feedback review

Before building a complex integration, compare recent enquiries by campaign and qualification outcome. Look for repeated mismatches: unsupported geography, misunderstood offer or a service the company does not provide. Use that evidence to revise the page, message or targeting.

A weekly review of twenty well-maintained records can be more actionable than a large automated report full of inconsistent statuses. The point is not the sample size itself; it is whether the records support the conclusion being drawn.

Automate the defined process

Where appropriate, use platform-supported offline conversion or enhanced-conversion workflows after checking their current requirements. Google Ads provides guidance for lead-related conversion signals. Eligibility, data handling and technical setup need review for the particular account.

Agree which outcomes are sent, which permissions support the transfer, how duplicates are prevented and how failures are monitored. Never treat hashing as permission to share personal information. Have the responsible privacy owner review the actual data flow.

Measure the feedback system itself

Track how many records receive a timely status, how many can be connected appropriately and which errors remain unresolved. If sales outcomes arrive late, preserve that lag in the report. Do not compare incomplete recent cohorts with fully developed older ones.

The loop is working when campaign reviews can distinguish more volume from better opportunities and identify a concrete next action. The integration should serve that decision, not become an end in itself.
